Promoting your charity fundraising event
It takes a lot of hard work to organise an event so make sure you make the most of the PR opportunities. To get you started, use our PR and marketing action plan which includes lots of low cost ideas for promoting a charity, school or not for profit organisation wishing to promote a fundraising event.
Middle of October
- Announce details about the event in your newsletter. This should cover basic information such when, what, where, who and why. The detailed information can follow in the next edition.
- Prepare posters and flyers.
- Investigate options for inviting a special guest to open your event.
End of October
- Prepare and issue a press release to local monthly magazines giving full information.
- Add details to your website – this could be via your blog.
- Post information on your Facebook page.
- Schedule tweets to encourage people to save the date.
- Arrange for posters to be displayed on community noticeboards and at the venue.
- Ask the venue to display flyers.
- If you are involving other stallholders in the event, provide them with a set of words that they can use on their website, send to their contacts etc. This will help to ensure consistency and accuracy.
Early November
- Issue a personal invitation to your contacts.
- Post teaser tweets and Facebook posts.
- Add your event to free what’s on listing sites.
- Update your website with details about what is planned.
- Invite neighbouring businesses to the event.
- Display flyers at any networking events you attend.
Middle of November
- Issue a press release to the local media.
- Invite friends and followers to help spread the word via Facebook and Twitter.
- If you have a special guest to open your event, contact the local media to see if they might be able to send a photographer.
2-3 days before your event
- Send out reminders.
- Refresh your website content. Remember to include information about car parking arrangements, refreshments etc.
- Build excitement and enthusiasm on social media.
On the day of the event
- Update your social media to encourage people to come along.
- Take lots of photos.
- Gather quotes from people attending.
Day after the event
- Issue a post event press release to announce how much money you raised and how it will be spent.
- Add details to your website.
- Thank people for their support via social media and your next newsletter.
Early January
- Issue press release and photo about how you have spent the money.
- Share photos on social media and your website.
